This policy explains what personal data is collected on antennapilot.com and in connection with AntennaPilot, RoutePilot, Wakeline, Device Manager for SonicWall, BackupPilot and EightBells, why, and what you can do about it.
1. Who is responsible
The controller of your personal data is Razvan Malciu, the developer of the software on this site. For any question about your data, write to support@antennapilot.com.
2. What is collected
Information you send through the forms
- Download link: your name, email address and, if you fill them in, your company and vessel.
- Contact form: your name, email address, subject and message.
- Wakeline quote request: your contact details and the details you give about the vessel and the installation.
- Beta programme: your contact details and the information you add about your role and vessel.
- Licences: if you ask for a licence key, the hardware fingerprint shown by the application. It identifies the computer, not you.
- Demo confirmation: when an application confirms its free demo online, it sends the hardware fingerprint of the computer, the application name and version; the site also sees the IP address of the request.
Information recorded automatically
- With each form you send, the site stores the date, your IP address and your browser type. This is used only to prevent abuse and spam.
- For each personal download link, the site records when it was created and how many times it was used. The link expires after 48 hours or five downloads.
- The web server keeps standard access logs for security and troubleshooting.
3. Why it is used, and on what legal basis
- To answer your message, send the download link, prepare a quote or issue a licence you asked for: this is necessary to do what you requested (Art. 6(1)(b) GDPR).
- To keep the site and the forms safe from abuse: legitimate interest (Art. 6(1)(f) GDPR).
- For site statistics with Google Analytics: only with your consent (Art. 6(1)(a) GDPR), which you can withdraw at any time.
Your data is not sold, rented or used for advertising.
4. Cookies
| Cookie | Purpose | Duration |
|---|---|---|
| ap_sid | Strictly necessary: keeps the forms secure | Until you close the browser |
| ap_consent | Remembers your cookie choice | 180 days |
| _ga, _ga_* | Google Analytics statistics, set only if you accept analytics cookies | Up to 2 years |
Google Analytics loads only after you accept it in the cookie banner. You can change your choice at any time with the Cookie settings link at the bottom of every page; if you refuse, the analytics cookies are deleted.
5. Who else processes the data
- The hosting provider of this site, which stores the site and its database.
- The email provider used to send download links and replies.
- Google Ireland Limited, for Google Analytics, only if you have accepted it. Google may process data in the United States under the EU-US Data Privacy Framework.
6. How long it is kept
- Messages, quote requests, beta applications and download requests: as long as needed to answer and follow up, and no longer than 24 months after the last contact, unless a longer period is required by law (for example for invoices).
- Security records of form submissions: 7 days.
- Demo confirmations: the hardware fingerprint and the demo dates, for as long as the application is offered, so that a demo can be used once per computer.
7. Your rights
You can ask for access to your data, correction, deletion, restriction of processing, a copy in a portable format, and you can object to processing based on legitimate interest. Where processing is based on consent, you can withdraw it at any time. Write to support@antennapilot.com and you will get an answer within one month.
You also have the right to complain to the Romanian data protection authority, ANSPDCP (dataprotection.ro), or to the authority in your own country.
8. The software itself
AntennaPilot, RoutePilot, Device Manager for SonicWall, BackupPilot and EightBells run on your own computers and do not send personal data to the developer. Online features use public services: RoutePilot requests weather data and map tiles for the area of your route, and the applications may read a small version file on antennapilot.com to check for updates. Device Manager for SonicWall talks to your SonicWall firewall, BackupPilot to your Synology NAS units and EightBells to the PCs of your domain; addresses, passwords and results stay on your computer. Where an application confirms its demo online, it sends only what is listed under Demo confirmation above. Wakeline runs on the ship’s own network; the only data it sends out are requests for weather and map data for the area around the ship.
9. Changes
If this policy changes, the new version is published on this page with a new date.
